WeHire Solutions Inc. is a Canadian Talent Management firm based in Downtown Toronto, at the center of Finance industry. WeHire specializes in providing unique talent acquisition solutions for employers and inspiring career consulting for job seekers. 

We are looking for an Office Administration position for one of our clients: an Artificial intelligence application firm headquartered in Toronto with a distribution team across Asia that is focused on building next generation applications using Artificial intelligence for traditional application.

Job Responsibilities and Duties:

  • Maintain a constantly changing and very busy calendar; including planning, prepping and scheduling

  • Schedule meetings and appointments for interviews

  • Maintain the office layout, condition, and arrange necessary repairs and ordering supplies as needed

  • Act as the "face of the company" -- meet and greet incoming guests and visitors

  • Partner with HR to update and maintain office policies as necessary

  • Organize office operations and procedures

  • Provide general support to visitors

  • Occasionally address employees’ queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)

  • Assist in the planning and execution of in-house or off-site activities, like parties, celebrations and conferences

  • Accept and distribute incoming mail and packages

  • Scan, copy and file documents as needed

Qualifications and Skills:

  • 1- 2 years’ experience working in a fast-paced, quickly growing startup

  • B.A./B.S. degree or equivalent work experience

  • An entrepreneurial problem-solver with a “get things” done mentality

  • Excellent verbal skills, well-spoken, clear and direct

  • Excellent written skills, able to catch grammatical and spelling errors

  • Highly ethical and trustworthy

  • Proficient in Microsoft Word and Excel

  • Extremely well organized and able to help others be the same

  • Willing to do entry level bookkeeping, work hard, and learn

  • Comfortable with technology and ambitious about learning all kinds of things

  • Basic Knowledge in Microsoft Office and Google Suite
